What Is a Managed Service Provider (MSP), and Does Your Business Need One?

Most small businesses handle IT the same way: something breaks, someone calls for help, and work stops until it's fixed. It works, until the day the server won't start, the backups turn out to be empty, or a virus spreads through every computer in the office.
A Managed Service Provider, or MSP, takes a different approach. Instead of waiting for problems, an MSP looks after your technology continuously, for a predictable monthly fee.
What an MSP actually does
Think of it as having an IT department without hiring one. A good MSP typically handles:
- Monitoring your computers, servers and network, so problems are caught early, often before anyone notices
- Updates and security patches for Windows, Mac and business software, applied on a schedule instead of "whenever someone remembers"
- Antivirus and security protection on every device, kept current and checked
- Backups that are tested regularly, so you know your data can actually be restored
- Help desk support when your staff have questions or something stops working
- Network management, including firewalls, Wi-Fi and internet connections
- Planning: advice on what to replace, upgrade or budget for next year
Break-fix vs. managed services
With break-fix IT, you pay by the hour when something goes wrong. It feels cheaper because there's no monthly bill, but the costs show up in other places:
- Downtime while you wait for help
- Emergency repairs that cost more than prevention would have
- Problems that grow quietly, like a failing hard drive or a backup that stopped running months ago
With managed services, you pay a flat monthly amount, and your provider is motivated to keep things running smoothly. Fewer problems means less work for both of you, so the incentives are on your side.
Signs your business could use an MSP
- You don't know for sure whether your backups work
- Updates get postponed because nobody has time
- One person in the office has become the "accidental IT person"
- Computer problems regularly interrupt your work
- You're not sure who has access to which accounts and systems
- You'd struggle to recover if your office computers were hit by ransomware tomorrow
If two or more of these sound familiar, a managed approach is worth a conversation.
What to look for in an MSP
Not every provider is the same. Ask:
- Will I talk to real technicians who know my setup? Local, consistent support beats a different call-center agent every time.
- How are backups tested? "We back everything up" isn't enough. Restores should be tested.
- What's included in the monthly price, and what isn't? Get it in writing.
- Can you come on-site? Remote support handles most issues, but some things need hands on the equipment.
- How long have you been doing this? Experience matters when something unusual goes wrong.
